But what if there was a way to make the start of a new academic term a little simpler—for everyone?


What if processes could be streamlined or students could be more interactive with their student portals? What if students could be alerted with messaging and sent reminders about appointments? What if departments were able to reach out to students with more information ahead of time, and help students reach their goals in a more successful manner? That might help resolve some of the impact in the office, right?

Well, steering committees of the California Community Colleges (CCC) Education Planning Initiative (EPI), the Education Planning Tool/Degree Audit System (EPT/DAS) and Student Services Portal (SSPSC) have been hard at work on procurement, modeling mock-screen designs, having in-depth discussions about student/staff/faculty processing, and gathering information for user interface (UI) architecture for a friendlier portal and education planning/degree audit system.

At meetings in Los Angeles on Oct. 2 and Oct. 3, the work groups of these committees dove head first into their work and came up with some fantastic outcomes. This is a sampling of their work:

  • Alejandro Colon, Mojdeh Mehdizadeh, Jayme Johnson, and Natalie Desmione listen as Gwyer Schuyler explains to the steering committee how they envision the students will interact with the dashboard concept and portlets. Creation of “user stories”, or scenarios based on the needs of anticipated user communities
  • Lists of requirements to include in the procurement process
  • Design considerations
  • Predictive analytics to assist students in making choices
  • Fact sheets for community dissemination

Energy and momentum was shared throughout the two days, and the team and committee members covered a plethora of information in a short amount of time. In the SSPSC meeting, the momentum carried forward into the work group breakout sessions where discussions took place and centered around portlets requirements and prioritizing items to continue writing user stories. In the EPT/DAS meeting, work groups were busy collaborating on itemizing/defining processes, writing use cases for requirements, and customizing what specific items the committee wants to see in the upcoming procurements for the education planning tool/degree audit system that will be piloted by the 10 colleges that are within the EPI steering committee.

We are excited with the work that is underway, and the accomplishments we will make by the time of our next face-to-face meeting in November.
